01 · Account access

Create, verify, and recover an account

Every customer uses a branded SEOPlan account backed by secure WordPress authentication.

Customer Account → Create your account
  1. Create the account. Enter your name, company, email, password, and matching confirmation. The strength indicator must show that the password meets the requirements.
  2. Verify the email. Open the message from SEOPlan and use its verification link. Verification links should only be used by the address that registered.
  3. Sign in. Use Customer Login in the site header. The eye button reveals or hides the password without changing it.
  4. Recover access. Choose “Lost your password?” and follow the one-time email link. If the message is absent, check Spam before requesting another.
Security note

SEOPlan support should never ask you to send your password, verification token, API key, or payment-card details.

02 · Plans and access

Understand plan limits and feature access

The dashboard enforces access on the server, so changing page markup cannot unlock paid capability.

Free

Initial audits and a limited workspace for evaluating the platform.

Foundation

Saved history, detailed Google evidence, Action Plan workflows, and recurring decision support.

Growth

Higher audit and website capacity, scheduled monitoring, alerts, and collaborative team workflows.

Scale

Custom capacity, wider team operation, onboarding support, and read-only customer API access.

03 · Websites

Add and manage covered websites

Saved websites establish which domains belong to the workspace and which can receive monitoring schedules.

Customer Account → Websites
  1. Enter the root domain, such as example.com; do not paste a private administration URL.
  2. Add an optional label such as “Main website” or “UK store”.
  3. Select Add website. Duplicate or invalid domains are rejected.
  4. To remove coverage, use Remove beside the domain. Review dependent monitoring schedules first.

Owners and Managers can change websites. Analysts and Viewers can only see the websites shared with their workspace.

04 · Audit reports

Run, interpret, export, and delete audits

An audit records observable public-page conditions at the time of its scan; it does not guarantee indexing, rankings, or business outcomes.

Customer Account → Reports → Run another audit
  1. Submit a public HTTP or HTTPS website address and choose Create Private Audit.
  2. Keep the progress page open or return through Reports. A completed email may also link to the report.
  3. Start with the overall score and failed or warning checks, then inspect site-wide priorities and affected pages.
  4. Use Download CSV for the page inventory or Print / Save PDF for a portable copy.
  5. Use Delete report when the record is no longer needed. Deletion is immediate and cannot be undone.
Retention

Private reports expire automatically after 30 days. Export anything needed for a longer internal record before that date.

05 · Monitoring and alerts

Schedule recurring checks and review meaningful changes

Monitoring compares completed scans. The first successful run establishes a baseline; later runs report changes against prior evidence.

  1. Add the website to the workspace, then open Monitoring.
  2. Choose an available frequency and save the schedule. Frequencies depend on the current plan.
  3. After the first completed scan, confirm that a baseline appears.
  4. Review new issues, recoveries, score movements, and scan problems in Alerts.
  5. Mark reviewed alerts as read. Use Email alert preferences to choose which events should also be emailed.

A scan failure means the comparison could not be completed; it is not proof that the website has an SEO failure. Retry after temporary hosting or connectivity problems are resolved.

06 · Google data

Connect Search Console and GA4 evidence

The connection is read-only. SEOPlan can retrieve permitted reporting data but cannot edit or delete information in Google.

  1. The workspace owner selects Connect Google and signs in to the Google account with access to the required properties.
  2. On the consent screen, approve Search Console and Analytics read access.
  3. Back in SEOPlan, choose one verified Search Console property and one GA4 property, then select Save Google properties.
  4. Review the latest complete 28-day evidence, priority signals, landing pages, and history available to the plan.
  5. Use Disconnect Google to remove saved tokens. You can also revoke access from Google Account connections.
Timing difference

Search Console and GA4 may finalize data at different times. SEOPlan caches evidence temporarily for performance, so very recent Google changes may not appear immediately.

07 · Action Plan

Turn evidence into assigned work

The Action Plan preserves the relationship between an observed signal, a responsible person, progress, and later measurement.

Customer Account → Google Data → Add to Action Plan
  1. Review an actionable Google priority signal and select Add to Action Plan.
  2. Open Action Plan, assign an eligible team member, and change the state from To review to In progress.
  3. When implementation is complete, select Done. If connected evidence is ready, SEOPlan saves a baseline.
  4. After the evidence window matures, review directional change under Measured impact.
  5. Use Dismissed for a deliberate non-action; do not mark unimplemented work Done merely to clear the list.

Measured movement is directional evidence, not proof that one action caused the outcome. Record other releases and external factors in your internal decision log.

08 · Weekly Brief

Read the weekly decision summary

The Weekly Brief combines connected evidence and workspace activity into a compact review.

  • Compare Search Console and GA4 movement with the previous complete period.
  • Review actionable Google signals and open Action Plan items.
  • Check active monitoring and unread alerts before choosing the next work.
  • Use the email link to return to the live dashboard; the email is a summary, not a permanent report.
  • Control weekly delivery in Email alert preferences when that option is available.
09 · Team access

Invite people with the minimum necessary role

Invitations are email-specific. The recipient must accept with the same email address that received the invitation.

Manager

Manages websites, audits, reports, and monitoring.

Analyst

Runs audits and monitoring without changing websites or billing.

Viewer

Reads shared reports, alerts, and results.

  1. The owner enters the email, chooses a role, and sends the invitation.
  2. The recipient opens the email and signs in—or creates an account—with that exact address.
  3. The owner can change the role with the selector and Save, or revoke access with Remove.

Only the workspace owner controls billing, Google connections, API keys, and destructive membership decisions.

10 · Billing

Understand subscription and payment states

Stripe securely handles card details, invoices, payment methods, and enabled subscription changes. Card data never passes through WordPress.

  • Active: paid access is available through the displayed renewal date.
  • Cancellation scheduled: access continues until the paid period ends; eligible subscriptions can be reactivated before then.
  • Past due: update the payment method during the displayed grace period to avoid reduction to Free.
  • Upgrade: the current Stripe subscription should be changed, not duplicated; applicable prorations are displayed by Stripe.
  • Downgrade: eligible reductions are normally scheduled for the next renewal to preserve already-paid access.

While public checkout is closed, paid-plan buttons request early access and take no payment. When live sales are activated, the Billing panel and Stripe confirmation screen become the authoritative source for amounts and dates.

11 · Customer API

Create and protect read-only API keys

Customer API access is a Scale capability intended for retrieving authorized workspace data programmatically.

  1. The workspace owner selects Create API key and copies the value immediately; the full key is shown only once.
  2. Store it in a secret manager or protected server setting—not source code, screenshots, email, or browser bookmarks.
  3. Send it only to documented SEOPlan API endpoints using the required authorization header.
  4. Rotate or revoke the key when a team member leaves, an integration is retired, or exposure is suspected.
Key safety

Deleting or revoking a key immediately stops clients using that key. Create and deploy a replacement before revocation when continuity is required.

12 · Privacy and retention

Know what is stored and how to remove it

Different records have different operational purposes and retention behavior.

Audit reports

Private reports expire after 30 days and may be deleted earlier from the report toolbar.

Google connection

OAuth tokens are encrypted at rest and removed when the owner disconnects Google.

Account records

Profile, workspace, entitlement, and activity data support account operation and legitimate security needs.

Payments

Stripe processes payment details; SEOPlan stores only identifiers and subscription state needed to enforce access.

13 · Troubleshooting

Recover from common problems

Start with the narrowest check and avoid repeating a destructive or billable action.

Verification, invitation, or recovery email is missing

Check Spam, confirm the exact account email, wait several minutes, then request one replacement. Repeated requests can invalidate older links. Contact support if other SEOPlan emails are also absent.

A report remains queued or monitoring did not run

Confirm the website is publicly reachable and the schedule is active. Hosting outages can prevent background work. Do not create many duplicate jobs; check again after the next cron interval.

Google connects but properties are absent

Confirm the selected Google account has access to the verified Search Console site and GA4 property. The required Google APIs must be enabled, and the OAuth scopes must remain approved.

A team invitation says it belongs to another account

Sign out and accept the invitation using the exact email address that received it. Do not forward invitation links between people.

Billing does not open or a payment fails

Do not repeat checkout blindly. Review the branded billing notice and Stripe Dashboard state. Confirm that public checkout is enabled only after live configuration and launch approval.

The site shows 502 Bad Gateway

This normally means the hosting gateway could not reach the WordPress/PHP backend. Wait briefly and retry once. If it repeats, record the time and URL and contact hosting support; changing dashboard data will not repair the gateway.

14 · Contact support

Provide enough context for a safe diagnosis

Useful detail shortens investigation without exposing secrets.

  • The page or dashboard section where the problem occurred.
  • The approximate date, time, and timezone.
  • The action immediately before the problem and the visible error message.
  • The affected website or report identifier, when it is not confidential.
  • A screenshot with passwords, API keys, payment details, tokens, and private customer data removed.
